Receptionist/Executive Assistant

This is a high profile position in a growing internet company responsible for managing the reception desk while providing executive-level support to the CEO, Co-founder and assisting Human Resources. This is a great opportunity to make a big impact in a fun and growing company. The ideal candidate will have solid administrative experience and the willingness to handle office issues no matter how small. Executive Assistant Responsibilities:

  • Keep CEO and Co-founder organized by managing calendar, ordering lunch, scheduling appointments and coordinating travel
  • Arrange travel schedules and reservations for CEO, Co-founder and other Managers, distributing final itineraries before travel dates
  • Print reports and documents for CEO daily
  • Screen incoming mail for the CEO and determine level of priority
  • Prepare CEO and Co-founders’ expense reports and reimbursements
  • Work on special projects, at the request of the CEO, Co-founder or Management, which may include: planning and coordinating multiple presentations, disseminating information, and organizing companywide events
  • Provide support to Senior Management Team as needed
  • Perform other related duties as needed

Receptionist Responsibilities:

  • Run a well-maintained, professionally operated, and welcoming reception area with a smile and a great attitude
  • Assist with conference room scheduling
  • Serve as go-to source of information for multiple staff questions, from CEO’s availability to standard office procedures
  • Order food for the office once a week and as needed
  • With Office Manager, handle incoming/outgoing mail and process bulk mail projects

HR Assistant Responsibilities:

  • Assemble new hire packets
  • Provide administrative support by updating available positions on company’s website and on other job-search sites
  • Track and manage employee attendance 
  • Assist with company functions and events
  • Assist with benefits enrollment

Required Skills & Competencies:

  • Requires continual attention to detail, establishing priorities and meeting deadlines
  • Must be able to work in a fast-paced demanding environment with demonstrated ability to multi-task, organize workload and follow through with projects to completion
  • Must have high level of interpersonal skills
  • Excellent verbal and written communication skills, including ability to interact with individuals at all levels within an organization
  • Proficient computer skills are a must, including MS Office
  • Must be Internet savvy with ability to do research on the web
  • Prior experience arranging extensive travel a big plus
  • Undergraduate degree preferred
  • MUST have at least three years solid administrative support experience
